From Spreadsheets to ITAM: What, When and Why You Gain

The limitations of manual tracking, coupled with the rising demand for accurate, real-time data, make one thing clear: managing IT assets with spreadsheets is not sustainable. This is where IT Asset Management, or ITAM, steps in to transform how organizations manage their technology landscape. 

Our debate: spreadsheets aren’t built for modern IT environments 

At first glance, Excel appears to be a perfectly adequate tool for logging IT assets. It allows for rows, columns, filters, and formulas. However, its simplicity becomes a liability when the volume and complexity of assets increase. 

One of the biggest problems with using spreadsheets for IT asset tracking is manual entry. Every new device, license update, or ownership change needs to be recorded by hand. This eats up time and introduces a high risk of human error; as unfortunately, a single typo or forgotten update can throw off your entire inventory. 

Another issue is data accuracy. Spreadsheets don’t automatically update when an asset is moved, reassigned, or decommissioned. The data becomes outdated almost as soon as it’s entered. This static nature means you’re constantly chasing a version of the truth, rather than having access to the real-time state of your IT environment. 

Security is another concern. Spreadsheets can be easily duplicated, shared without restrictions, or even lostSensitive asset information like user ownership, licensing keys, and device configurations can end up in places it shouldn’t (and they often do!). Without built-in user permissions or audit trails, maintaining confidentiality and accountability becomes difficult. 

Finally, scalability is a major issue. As your company grows, so does the number of devices, applications, and users to manage. When to make the move, and how to make the switch smoothly  

The right time to transition from spreadsheets to an ITAM system is… now, or at least (typically) sooner than most teams expect. If your asset list has grown beyond a couple dozen items, or if you’re managing IT resources across multiple teams or locations, it’s time to consider an upgrade. 

Signs that you’ve outgrown spreadsheets include frequent data discrepancies, frustration during audits, missed license renewals, or a general sense that you don’t have full control over your IT environment. Even smaller teams benefit from ITAM, as automation compensates for limited manpower and ensures important data doesn’t fall through the cracks.

Step by step

Transitioning from Excel to an IT asset management platform doesn’t have to be disruptive or difficult - the key is to start with a clear plan. First things first, review your current spreadsheets to understand what data you’re tracking. Then define your goals for ITAM. Is it improved visibility, tighter compliance, auditing your inventory, or better cost control?

Sticking with spreadsheets may feel comfortable, but comfort can come at the cost of control, accuracy, and security (and falling behind the industry).
