Why Budget Planning Matters
As an IT Manager, I face the same challenge every year - planning a budget for the upcoming period. It’s a task I take seriously, because a well-prepared budget is essential for the successful operation of the IT department. Together with our CFO, I closely monitor all financial activities related to IT operations. And that’s where the real game begins.

Excel Sheets vs. a Dynamic Budget
In the past, our IT budget was managed through Excel spreadsheets. It worked - but only up to a point. In a fast-changing environment where close collaboration with business units is essential, spreadsheets simply can’t keep up.
IT needs to respond quickly to new requirements, which means the budget must be flexible too.
That’s why I switched to ALVAO Asset Management - a tool that allows me to adjust to changing needs in real time.
Planning Hardware Purchases
Detailed statistics in ALVAO help me predict exactly which computers will need replacement and when. I can clearly see whether buying or leasing equipment makes more sense.
This is also where cooperation with other departments begins. For example, when HR requests a new employee onboarding, I already know what hardware to allocate - based on real data, not guesses.
Transparency and IT Team Efficiency

Using ALVAO Beyond IT
We’ve recently extended ALVAO’s use beyond IT to support building maintenance services. When I register IT assets, the maintenance team immediately gains access to the same tool for tracking electrical inspections and maintenance needs.
We’ve even integrated ALVAO with our general contractors’ systems - so requests go straight to the supplier’s desk without me writing a single email.
Connecting ALVAO with our ERP system was the final touch. When I enter a new asset into ALVAO, the system automatically reports it to finance, which assigns the asset number in the ERP and sends it back to ALVAO.
Within an hour, the process is complete - including generating and printing the asset label.
