For six years, the IT team worked on unifying processes, building internal capacity, and bringing service management across all five countries under one central team. Only when the company was fully ready did they launch a formal selection process.
The solution: Asset management first, Enterprise Service Desk second
Sportisimo took a methodical, step-by-step approach to moving over to ALVAO:
1. IT Asset Management
The main goal was gaining total visibility over IT equipment and general company assets, then linking that inventory directly to accounting records. Today, ALVAO tracks all IT assets alongside headquarters and warehouse equipment.
The IT department moved nearly all hardware and infrastructure into ALVAO Asset Management. This gave them complete visibility over the entire lifecycle of each item and allowed them to connect data across other internal systems.
In total, ALVAO manages 32,000 IT asset records and 3,350 items from other departments. The next step will expand tracking to store equipment, which will significantly increase total asset coverage.
"ALVAO brought our processes under control. Everything is transparent, and we know exactly what is happening where."
Petr Kraus, IT Director, Sportisimo
2. Enterprise Service Desk
Only after verifying that the company was ready for change did IT roll out the Service Desk. They did not stop at IT: they included HR, Security & Compliance, logistics, back office, Customer Care, and other teams. "If we had taken our old service catalog and poured it straight into ALVAO, we would have killed the initiative. We brought processes over gradually and showed people how to use them so they saw immediate value," explains Petr Kraus.
Today, ALVAO powers over 30 internal service departments and processes over 100,000 requests every year. Anyone in the company who operates in an internal service provider role uses ALVAO.
- Two distinct worlds in one interface: A standard L1 incident gets resolved in a few clicks, while complex Change Management can follow up to a 14-step approval process. Both run smoothly within the same clean interface.
- Managing seasonal peaks: "During busy retail periods, ALVAO allows us to shift IT capacity between teams right when demand spikes," says Petr Kraus.
- Self-sufficient IT team: Sportisimo handles most system setups and adjustments on its own. The team can launch a new service department without waiting for vendor support.
Results in Numbers
- 17% lower support costs: By tracking all work in ALVAO and using capacity better, a smaller team handles the same workload while maintaining service quality.
